A note for
Parents/ Carers
We understand that a change in provision can feel unsettling, and you may receive more communication than usual while we put everything in place. Please be reassured that all actions are taken in line with statutory guidance, our legal duties (including safeguarding and SEND requirements), and clear internal procedures. Our single aim is to ensure the programme is safe, appropriate, and effective—so it best meets your child’s needs and supports sustained progress.
What should Parents/ Carers expect from us?
Communication
Named contacts: a key worker for your child and a site/virtual lead for escalation.
Response times: we aim to respond to routine queries within 1 working day; urgent safeguarding concerns are acted on immediately.
Weekly update and termly/annual reports: a brief weekly progress note from the key worker and a comprehensive termly and annual report.
Portal access: timetable, assignments, feedback, attendance, and reports in one place.
Meetings: scheduled review calls/meetings (online or in person) at agreed intervals.
Safeguarding & wellbeing
We follow Keeping Children Safe in Education (KCSIE) with a Designated Safeguarding Lead (DSL) overseeing all cases.
All staff are safely recruited and trained; concerns are recorded and actioned on our secure system.
Information is shared on a need-to-know basis in line with UK GDPR. You’ll be told what we’re doing and why, unless doing so would place a child at risk.
Attendance & engagement
Daily registers are kept for all sessions (online and face-to-face). Absence triggers same-day contact.
For remote education commissioned by a school/LA, sessions are coded appropriately (e.g. Code B for supervised off-site/remote).
If your child misses learning, catch-up work or re-scheduling will be agreed where appropriate.
Teaching, curriculum & assessment
Bespoke timetable: live lessons (small group/1:1), independent study packs, and (where agreed) face-to-face sessions.
Qualified and in-training teachers deliver a broad and balanced curriculum with clear routines and expectations.
Assessment: baseline on entry, regular progress checks, and clear targets.
SEND / EHCP support
Reasonable adjustments are built into the timetable and resources.
We map delivery to EHCP Section F, keep child’s At A Glance ( Individual Support Plans, transition plans, etc) up to date, and contribute to annual reviews.
We coordinate with therapists and external agencies where commissioned.
Reporting & reviews
Termly academic reports summarising progress, next steps, and attendance.
Half-termly ISP/EHCP updates for pupils with SEND.
A clear review schedule so you know when to expect updates and meetings.
Online learning standards
Secure platforms, predictable links, and clear joining instructions.
Acceptable use rules for chat, cameras, and breakout rooms; alternatives are provided where reasonable.
Sessions may not be recorded without consent (unless required for safeguarding or compliance).
Home/community sessions (if blended)
Risk assessed home/community visits with lone-working controls; two adults where required.
ID shown on arrival; visit purpose, timing, and expected adults present agreed in advance.
Enrichment and off-site activities follow educational visits procedures.
Examinations & accreditation
Routes include GCSE, Functional Skills/NCFE, and ASDAN life-skills where suitable.
We support access arrangements and exam entries in coordination with the commissioning school/LA.
Data protection & confidentiality
We protect your family’s information under UK GDPR and our data policies.
We do not discuss other pupils or staff matters. Commercial arrangements between organisations are handled organisation-to-organisation, not with parents/carers.
Concerns, compliments & complaints
You’ll receive clear points of contact for day-to-day issues and safeguarding.
If something isn’t working, we’ll agree an action plan and timescales.
